Research type: Sourced workflow guide
Method: Primary Apple, vendor, and project documentation retrieved September 21, 2026. No app, device, mailbox, design workspace, account, purchase, upload, or OS setting was opened or tested; vendor claims remain attributed and proposed tests are not observed results.

A long email is a document, not a rectangle.

If you need one visible paragraph, use a normal screenshot. If you need the whole message, a print/PDF path may preserve more of the document with less stitching. If you need a visual reference for a campaign or design review, capture selected sections and keep the source message beside them.

The right method depends on what the reader needs to verify.

## Use a screenshot for a visible state

Apple documents Shift-Command-3 for the entire screen and Shift-Command-4 for a selected area. Shift-Command-5 opens the Screenshot toolbar with window capture, a timer, destinations, and a floating thumbnail.

Use a screenshot when the claim depends on the visible UI around the message:

- the sender and subject line;
- an inbox label;
- a webmail control;
- a newsletter rendered in a browser; or
- the exact visual arrangement of a campaign.

Keep the original unannotated file. If you crop away the sender, timestamp, or URL, write down what you removed.
