# How to Annotate Screenshots on Mac

We explain how to add arrows, shapes, text, highlights, numbered markers, pixelation, and measurements to Mac screenshots using Preview, third-party tools, and LazyScreenshots.

## Why annotate screenshots

A raw screenshot shows everything on screen; an annotated screenshot shows what matters. Arrows, rectangles, and other callouts turn an image into a precise message.

For developers, annotations are useful for:

- **Bug reports:** Circle the broken element, point to incorrect spacing, or highlight an error message so teammates can identify the problem quickly.
- **AI coding:** When you paste a screenshot into Claude, Cursor, or ChatGPT, annotations direct the model to the relevant area. “Fix the element I circled” is more precise than “fix the layout.”
- **Code reviews:** Annotated screenshots in pull-request comments show visual changes and can replace paragraphs of description.
- **Documentation:** Numbered callouts and arrows help users identify which control to use in each step.

## macOS Preview markup

Every Mac includes Preview with a basic Markup toolbar.

1. Take a screenshot with **Cmd+Shift+4** or another screenshot shortcut.
2. Double-click the screenshot file to open it in Preview.
3. Click the **Markup** button, shown as a pencil icon, or press **Cmd+Shift+A**.
4. Use the shape tools to add rectangles, circles, lines, and text.
5. Save with **Cmd+S**.

### What Preview can do

- Rectangles, circles, and lines in various colors
- Text boxes with font and size controls
- Freehand drawing with the Sketch tool
- Speech bubbles and star shapes
- Signature insertion

### What Preview cannot do

- ✗ **Arrow tool:** Preview provides lines but no arrowheads. Creating an arrow requires combining a line with a separate shape.
- ✗ **Blur or pixelation:** Preview cannot redact API keys, personal data, or other sensitive information.
- ✗ **Numbered markers:** Numbered callouts require separate text boxes and manually typed numbers.
- ✗ **Streamlined workflow:** You must save the file, open it, annotate it, save it again, and then paste it—four additional steps each time.
- ✗ **Dimension measurements:** Preview cannot measure pixel distances between elements, which are useful for CSS debugging.

Preview is suitable for occasional annotations, but frequent screenshot workflows involve more friction.

## Third-party annotation tools

### CleanShot X — $29 one-time

CleanShot X includes arrows, shapes, text, blur, and numbering. It requires a separate capture step and does not auto-paste into AI tools. It is positioned as a general-purpose screenshot workflow tool.

### Shottr — free / $12

Shottr is lightweight and fast, with arrows, shapes, text, and a pixel ruler. It does not provide AI editing or auto-paste to AI assistants, so it is suited to quick annotations but is more limited for AI coding workflows.

### Snagit — $63/year

Snagit is enterprise-focused and includes templates, step numbering, and a built-in editor. It is powerful but uses an annual subscription and may be more than most developer workflows require.

These tools require capture, annotation, and then manual pasting into an AI tool or chat. They do not integrate the annotation step directly into an AI-first workflow.

## Best practices for annotating developer screenshots

### The 1–3 rule

Use one to three annotations per screenshot. More can make the image cluttered. For many elements, use multiple focused screenshots.

### Use arrows for direction, shapes for areas

Use an arrow for a specific element, such as “this button.” Use a rectangle for a region, such as “this section.” Choose the form that makes the target clearest.

### Crop tight

Capture only the relevant part of the screen. A full-screen screenshot with one small arrow is difficult to read; crop to the area that matters before annotating.

### Use numbered markers for AI prompts

Numbered markers support precise prompts such as “Move element #1 below element #2” or “Fix the spacing around #3.”

### Always blur sensitive data

Before sharing, check for API keys, passwords, email addresses, personal information, and access tokens. Blur sensitive data first.
